Our booking policies and guest guidelines for a seamless stay

1. Booking and Payment Policy

1.1. Reservation Confirmation

  • All reservations require a 50% non-refundable deposit at the time of booking to secure your stay
  • Bookings are not confirmed until the initial deposit payment is received and verified
  • A booking confirmation will be sent via email once the deposit payment is processed

1.2. Payment Schedule

  • The initial 50% non-refundable deposit is required at the time of booking
  • The remaining 50% balance must be paid in full either:
    • Prior to arrival, or
    • At check-in
  • Full payment is required prior to room access

1.3. Accepted Payment Methods

  • Bank Transfers – KES, USD, EUR and GBP accounts available
  • Cash (final payment at check-in only)
  • Mobile Money – M-Pesa

2. Cancellation and Modification Policy

2.1. Cancellations

  • The initial 50% deposit is non-refundable under any circumstances
  • Cancellations must be submitted in writing via email to info@kitumomaralodges.com
  • No refunds will be issued for early departure or unused portions of stays

2.2. Booking Modifications

  • Reservations are transferable to another guest
  • The original booking guest must submit transfer requests in writing via email to info@kitumomaralodges.com
  • New guest details must be provided at least 48 hours before check-in
  • Transfer of booking does not affect the non-refundable nature of payments made
  • Date modifications are subject to availability and may result in additional charges

3. Check-in and Check-out

3.1. Check-in

  • Standard check-in time: 12:00
  • Photo ID and valid payment method required at check-in
  • The guest named on the booking must be present at check-in
  • Early check-in subject to availability and may incur additional charges

3.2. Check-out

  • Standard check-out time: 11:00
  • Late check-out requests subject to availability and additional charges

4. Guest Policies

4.1. Room Occupancy

  • Maximum room occupancy must be strictly adhered to
  • Additional guests beyond the stated occupancy are not permitted
  • Children's ages and occupancy restrictions: Under 10s stay free. 50% discount for 11 to 16 year old

4.2. Guest Responsibility

  • Guests are responsible for any damage to hotel property
  • The registered guest is responsible for the behaviour of all occupants
  • Smoking is prohibited in all rooms (if applicable)
  • Quiet hours must be observed from 10:00 PM

5. Amenities and Services

5.1. Parking

  • Complimentary parking is available for all guests

5.2. Meal Plans

  • All-Inclusive Package includes:
    • Transfers from Nairobi or Airstrips
    • All meals
    • Safari Game Drives and Private Vehicles
    • Unlimited bottled water
    • Unlimited tea/coffee
    • Local Beers, spirits and wines (within reasonable consumption)
  • Full Board Package includes:
    • Three meals per day
    • Soft drinks with dinner

5.3. Activities and Facilities

  • Bush dinners and similar outdoor activities are weather-dependent
  • Pool access may be limited during adverse weather conditions
  • Solar-powered facilities may be affected during periods of limited sunlight
  • The hotel reserves the right to modify or cancel outdoor activities based on weather conditions

6. General Terms

6.1. Liability

  • The hotel is not responsible for loss or damage to guest belongings
  • The hotel reserves the right to refuse service to any guest
  • The hotel is not liable for circumstances beyond its reasonable control

6.2. Privacy Policy

  • Guest information will be handled in accordance with applicable privacy laws
  • Booking information may be shared with relevant authorities if required by law

7. Amendments to Terms

  • The hotel reserves the right to amend these terms and conditions
  • Changes will be communicated to guests with existing bookings
  • The latest version of these terms will always be available upon request info@kitumomaralodges.com
